A walkthrough of Sitetasks. A new client works through the three-step onboarding: they enter their name, email and website, describe a menu-page change and attach a file, then choose a Priority subscription. They meet their account manager in a chat and see the request in their new client portal. The request lands on the agency's task board, and the team works it from its chat thread and checklist.

Starting point

After the Smalby client portal improved how the agency organized its work, the team wanted to offer the system to other agencies. A public product needed more than an internal tool.

What we built

We rebuilt it so multiple agencies could use it while keeping their accounts separate. It connects customer signup, requests, and the agency’s task list. Clients describe a request, add attachments, and choose a service option. Each request holds client communication, a separate team conversation, checklists, and quotes. Stripe supports subscriptions and one-off payments, and independent testers checked it before launch.

What happened next

The internal software became a standalone product at sitetasks.ai, with customer signup and billing. It grew from the agency’s own process into a product intended for use beyond that original project.

Ongoing work

This is the continuation of the Smalby relationship, rather than a separate client. Monthly improvement work covers feedback, changes, and new features.
